Today I’m going to share how Real Estate agencies are using outsourcing to deliver clients ‘Routine Inspections’ on time, to maximise client retention.

Damien Barnett from Affordable Staff and my years in the property management industry have shown me agencies want to deliver routine inspections in a timely manner, but often these reports are sent to clients weeks after and even worse, they include the same generic ‘Satisfactory ticks’ as the feedback.

Honestly… I get it when clients ask “did they actually do the inspection?”

Well of course we did, there are dates stamped on those photos. But it places the question in the owner’s mind around the quality of that feedback, especially if they’re delivered weeks down the track.

Often this is the case as it honestly takes a lot of time to complete these reports in a professional / timely manner and more often a property manager is busy dealing day everyday urgent items, rather than creating reports in their office.

The Real Cost Savings Of Outsourcing CMA’s

So let’s explore the REAL COST involved for your Property Managers to complete Routine Inspection Reporting. Let’s use a Real Estate business that has 300 rental properties.

On average your team will have to complete and send a minimum 20 Routine Inspections per week and to do this your staff will need to complete and upload the report onsite and then when they are back in the office they’ll need too:

  • Check the inspection for spelling errors and complete an overview
  • Sort through the report to identify maintenance
  • Merge the report using your companies branding and disclaimers
  • Save a copy into your document management software
  • And finally, Email a copy to the client.

The 5 tasks alone take 10 hours per week, based on an average 300 property rent roll.

Additional Tasks Outsourced Team Members Can Complete

Let’s explore that further…

How often has the report gone into the clients “JUNK” email and not been read, or instructions from clients on the report not been received?

Many agencies in your area follow up this important information with a follow up phone call.

This means this critical task can be completed on time and in full in an average of just 12 hours per week instead of a few weeks late, where the reports are marked ‘Satisfactory’ as they have other intensive tasks that demand their timely intention.

Again, I’ve been there myself so I know how it works.
