My day is basically coordinating the management team. I make sure everything is on track and that we are able to address any concerns that we may have for that day or period. It usually involves coordinating and interacting with the team over in Australia.

It depends on the service you're looking in to. If you are using a managed outsourcing service, then you should confirm that the company will guide you and ensure that you have the right infrastructure.

If you are looking at outsourcing then there are three most important things to gain experience in. First, the infrastructure [power and internet]. You have to control the possibilities of having infrastructure issues. You may want to look into employing staff within commercial areas as this will reduce the risk of power and internet issues.

Second, you need to have a recruitment process to follow so that you ensure that the person you employ is actually capable of performing the task. You should test their abilities and have understanding of the person's character.

Finally, incentivise and offer job stability. This is to convince the right person that you're a long term employer that will offer them a stable job.

Of the Eight, the key areas of focus are:

Aside from the fact that it's morally questionable to engage in ‘Slave Labour,’ it is an unsustainable business model in the outsourcing world.

Yes. There are approximately 175 languages within the Philippines and the the 2 official languages are Filipino and English.

The options are unlimited. You may want to train face to face through a video conferencing in which you can also show a team member processes by screen sharing. You can do this by using software like Skype or Zoom. In Zoom, you can even record the session so that your team member can go back to it or for the benefit of new team members to be up-skilled.

We work with our clients to develop an integration plan considering where you are now and determine gaps and how to bridge them. This is initially performed between our local team in Australia and the client.

They way we work with our clients depends on how they would designate our tasks and it varies. For some, they would  send us an email or place a task through Trello that is good for a week worth of work. If there will be any questions we can just send them an email enquiry or if it is something urgent we can have our project manager contact them.
There are however, clients that would prefer to communicate with us on a daily basis. Providing us tasks in email or in Skype daily. They can also be readily available for any questions with regard to the tasks.

Local staff have been warm and welcoming. They have been very helpful in training. There are proper endorsements at all times especially if there are tasks to be done. Although, sometimes, there is not much communication but if there are any concerns or things need to be done on their end, they do respond properly and comply accordingly.

This is because when a client agrees to make the site go live, there is a sense of achievement after a few days of working on it. Generally, the two main medium of communicating with our clients is through email or Skype. Some clients are easily available for a chat or call in Skype especially for urgent questions with regard to a task. Although we also use emails to communicate with them, emails just usually serves as our end of the day update. We are required to send activities we have done for the day so we do that through email or Trello.
In Trello, we have a board where our clients can also access. This is where we manage our tasks, we can assign them for further review, under development or, if there are any, we leave questions that we have for that task.

It depends on the termination of agreement. Generally, they would be reallocated to a different client as we employ the staff full time under our business in the Philippines.

The usual reason that your local staff have performance issues is just the same with your outsourced staff. This can be from attendance to their roles and should be addressed right away.
In our structure, clients would contact their account manager to identify the issue and we would discuss how we would address the issue.
We have supervisors and other mechanisms to monitor a team member’s performance. It is important to have a local contact ‘here’ that you can contact and discuss with any overseas staff issues. Usually, issues can be addressed faster when there is a person that acts as a bridge between you and your staff.

We start with an idea of tasks and times it should take to complete those tasks. We use multiple software to screen track and benchmark their performance. We also have supervisors that monitor the outsourced team so that if any issues arise they communicate it to the account manager and then contact the client.

Your local staff will still need to monitor and engage your outsourced staff’s work capacity and output especially that your business is unique and there are certain things you no doubt do in particular way.

It can be. The usual problems will be brownouts, unstable internet and roosters. It is common to have power shedding especially when it’s really a hot day and commercial areas switch up their air conditioning. Local power grid diverts power from residential areas to commercial thus person that’s working from home will be the ones that have the brownouts.

Unstable internet can impact the performance of calls and internet. You have to have a reliable internet connection to make sure you’re not getting drop outs and echoes. We prevented these issues by setting up a high speed fiber connection to our office in the Philippines.

Staff handling calls and people commenting on the sound of roosters in the background could become an issue in the perception of the professionalism of your business when it sounds like you staff is working in a farm shed.

All of these issues are of course east to overcome by ensuring they’re working in professional managed offices.

We use a hosted PBX system, which is basically like a traditional phone systems with multiple extensions but is cloud based or internet based.

We use a company called onPlatinum as we've tested a variety of other services and have found their infrastructure is stable and very reliable. But just remember that when you are using this as an option, make sure that your provider is set up roperly so that you don't get call drop outs, call echos' and other issues that are related t oa provider's capacity issues.

The Philippines' timezone is 2 hours earlier than the east coast of Australia during non daylight savings time. In other words 9:00 AM in Brisbane is 7:00 AM Philippines time. With that, our office is open from 8:00 AM till 10:00 PM Australian hours which allows your outsourced staff to be flexible enough to cover a most required times.

The key is simply to communicate the expected hours during the recruitment process including communicating if your staff may have to work the occasional weekend and that may be covered. It is essentially the same with how much you engage with your local team member. It will still depend on their experience and general common sense of the staff you employ. We can break it down to 3 stages.

Day 1 you allow to invest 4 hours but preferably be around all day. For the first week you should allow at least 2 hours a day and preferably on call if they need to talk to you anytime. The first week is the most important in building relationship with your staff.

On the second week it’s about 1 hour a day and you would normally focus on trouble shooting and reviewing the work they’re doing.

After that ongoing you would basically be available to talk on email preferably or Skype/phone with any questions. Just always remember to treat them as part of your team like how you treat your local team.

As 27% of the people within the Philippines have some form of Chinese ancestry, sourcing a suitable member for you can be a reality.

Rule of the thumb is that you will know if a person is a perfect fit within the first few days. If you’ve started working with a person and they don’t feel quite right or you think that they’re not a good fit, then you need to get a new person before you’ve invested too much time.

I get that it sounds pretty nasty, but I’ve only been proven wrong a few times when it comes to this approach and think it’s better use of time to get a new person rather than trying to prove my theory wrong. With this, you need to invest the time at the beginning to ensure you’re reducing this risk in your recruitment.

If you have a good person and they’re a good fit, I would like to see that person performing effectively by the end of their second week. It may take months to fully integrate, based on the tasks, but 2 weeks is the allowable time at the initial integration.

The options vary from your industry and the type of clients you work for. For instance, if your systems involve a client’s personal data then you may need to keep them located in Australian servers and have team members ‘Remote in’ to access it.

If you’re talking about more generic systems and procedures then data can be stored on programs like DropBox or Google Drive. There are also other tailor made solutions like a program called “Way We Do’ where you’re able to add a company structure, operations manual, etc.

We have our team employed under our Philippine corporation and we cover their health and medical, holiday, sickness, etc. as well as offering a competitive salary package and as a result, we have not experience that issue.

We have a number of supervisors that are in the office every day and account managers within Australia that can co-ordinate with you on the timing and delivery of new training. We also have access to online accredited training facilities where your team member can be trained/upskilled in a specific area on your behalf or you can arrange to meet with an account manager for other tailored training.

It's a big resounding no. We comply with eight conventions labelled as “fundamental”, covering subjects that are considered as fundamental principles and rights at work from the International Labour Organisation (or ILO).
Aside from the fact that it’s morally questionable to engage in ‘Slave Labour’ I do not think from a business perspective that it would be a sustainable business model in the outsourcing world.

Yes they know how to speak English. There are approximately 175 languages in the Philippines and the two official languages are Filipino and English.

There are a variety of ways you can train your team member. You may want to train face to face, which you could video conference. If you wanted to show a team member a process you can screen share with software like Skype or Zoom and even record each session to upload in your intranet or cloud to use as future reference.

This depends on if you’re doing this yourself or if you’re using an outsource company to help you. If you're on your own on this one, then you have to have a solid process to find the right people.
Given that you have covered all technical resources needed, then they can use anything.
Some of the property management software programs that our outsources staff currently uses are Console, REST, PropertyME, Palace, Mydesktop, and Rex just to name a few.

If you're outsourcing you should first identify the tasks you'd like to outsource before you recruit a staff with the skill set for the position. Then you talk to someone that has experienced outsourcing to where these tasks can be integrated. Once you go through the first 2 steps, you invest a lot of time in eliminating people that don't fit the description.

In my opinion, no. An outsourced team member can use the software, but in a process driven capacity around tasks that need to be completed like typing up condition reports or sending entry notices but not receipting rent or doing adjustments in the trust account. That is because trust account is the lifeblood of a property management business and the principal is personally responsible for the accuracy of these accounts.

In a fast paced world of business, the only constant is change and  growth of outsourcing is INEVITABLE as businesses find ways to survive in this constantly changing environment. Whilst outsourcing has directly impacted people on the tools building websites, it’s created another sub industry in demand.

So is the question really how I feel about ‘Destroying the Economy’ and the chances for our children or, is the question more around the fact that innovation creates change and how we can influence that change to understand the jobs we need to create for our children?

When you employ a team member through us, they actually become part of your team and you can treat them as another team member within your business. They however remains as an employee of our business to ensure that the members are enforceable to all measures to protect you. If your outsourced person is working from home then there is no way to tell if they are working for multiple clients or not. So as our solution was to bring the team to an office, supply them with computers, use screenshot software to track their performance, and have supervisors that also helps with troubleshooting issues. We also have Karen, our office manager to whom we have set up an incorporated business with, that has total ownership and responsibility of all that's going on in the office.

Another option is if you want your team to receive calls from landlines and mobiles, you can use a hosted PBX system which delivers the features and capabilities of an office telephone system without requiring on premise PBX equipment.

Yes of course. This is a preferred method to a number of our clients especially in dealing with sensitive data like managing payments or accessing accounts information. Usually, clients use specific software which only a team member can access remotely. This ensures that the information remains in-house and cuts down additional costs for purchasing additional software licences.

Definitely. Most of our team members have extensive call center experience and being able to understand Aussies will not be an issue. Additionally, our recruitment process includes testing their skills, listening and comprehension. In the end, it all boils down to the foundation of the recruitment process which is pretty much the same when employing someone locally.

Each team member is entitled to a number of sick days. Should your team member be unwell, we'll notify you the night before or early that morning. All pending tasks shall then be carried on to the next day however for urgent tasks we have floaters that can step in to ensure that everything continues as usual.
